I had a tutoring session using an external platform (like Facetime). How do I log my hours?


Tutoring must take place in one of our recorded Learn To Be classrooms. We currently support Zoom and Google Meet. *All session recordings are stored securely and NEVER released publicly without permission. 

When are external sessions allowed?

If there is a last-minute technical issue with our classrooms and you are unable to get Zoom or Google Meet to work, you may use an external platform (for example, FaceTime).

This should be rare and used only in emergency situations.


What to do if an external session occurs

Because the option for tutors to log external sessions has been removed, Learn To Be staff will now handle logging these sessions manually.


If an external session takes place, tutors must follow the steps below:

  1. Email hello@learntobe.org as soon as possible and no later than 1 month after the session date.
  2. Include the following details in your email:
    1. Student name
    2. Tutor nameDate of the session
    3. Length of the session
    4. Reason the session could not take place in a Learn To Be classroom
  3. Learn To Be will verify the session with the student or family.
  4. Once verified, our Learn To Be Team will log the session on the tutor’s behalf.

⚠️ Important:

If an external session is not reported within 1 month, it will not be verifiable. We are unable to confirm sessions far in the past.


Additional notes

  • Tutoring should return to a Learn To Be classroom as soon as technical issues are resolved.
  • Repeated use of external platforms without a valid emergency reason may result in hours not being credited.
